IO River IBC2026 Promotion - Privacy Supplement

A. If you entered the promotion

What we collect

Your name, company, job role/title, business email address, the time you submitted, your acceptance of the Official Rules, and - once you enter your card's code - which prize tier you won.

Why

To operate the promotion: verify your code, stop the same code being redeemed twice, and email you your result.

Legal basis (GDPR)

Performing the request you made by entering - Art. 6(1)(b)/(f).

Where it's stored

A Google Sheet, processed via Google Apps Script, under IO River's Google Workspace account, hosted in the United States.

How long we keep it

24 months after the show closes, after which your entry is deleted - unless you have become an active sales contact or customer by then, in which case your details are kept under IO River's general Privacy Policy rather than under this promotion.

Who else sees it

• NeverBounce (US) - receives your email address at the moment you submit it, to check the address is deliverable before we send your prize confirmation. Nothing else about you is sent.
• Google (Workspace / Apps Script / Gmail), as the storage and email-sending platform.
• HubSpot, IO River's CRM - entries may be added after the show for sales follow-up.

B. If a colleague gave us your details

This is the section the general Privacy Policy does not cover, because the data did not come from you.

What we hold about you

Your name, job role, and whichever of phone, business email, and LinkedIn profile your colleague provided.

Where we got it

Someone who met IO River at IBC2026 referred you as a person who handles CDN, infrastructure, or platform reliability. They may be a colleague at your company, or someone elsewhere who knows your work. Providing your details was their choice.

Why we hold it

To contact you once about whether IO River's multi-CDN platform is relevant to your company. Legal basis: our legitimate interest in business-to-business outreach - Art. 6(1)(f).

What we tell you when we reach out

We'll tell you that you were referred, and who referred you. If they asked to stay anonymous, we'll leave their name out. We also run a referral programme, so the person who referred you may receive a gift card if we end up meeting.

Your rights

You can ask us to correct or delete your details, or object to the outreach entirely, and we will stop. To do that, contact privacy@ioriver.io.

If you do nothing

If you never respond to us, your record is deleted 12 months after the referral was submitted.
